As a Business Office Manager, you are responsible for the daily operations of the Business Office and Freight & Customs departments. You ensure that all administrative and logistical processes run smoothly and that the team works efficiently and with a customer-focused approach. With your leadership and organizational skills, you make sure the services consistently meet high quality standards and expectations. You act as the point of contact for both internal departments and customers, while leading the team to achieve the best possible results together.
As Business Office Manager, you are part of the Management Team of VIM and participate in regular management meetings.

- You lead the employees of the Business Office and Freight & Customs departments, organizing tasks based on priorities, capacity, and customer needs
- You ensure the efficient use of people and resources and oversee compliance with procedures and customer agreements
- You coach and develop team members and conduct performance and appraisal reviews
- You monitor the progress and quality of processes and proactively intervene when deviations occur
- You initiate and guide improvement projects within administrative and logistical processes
- You ensure the correct administrative handling of logistics processes and monitor their execution
- You maintain close contact with the Warehouse Manager and other stakeholders
- You coordinate the planning and alignment of transport, including documentation and customs papers
- You serve as the escalation point for operational disruptions and manage customer expectations
- You prepare periodic reports and billing data
